How to Configure SMTP on Avaya IP Office

If you want to use email on your Avaya IP Office phone system you will need to configure the SMTP settings. This can be useful if you want to alert users that they have a new voicemail message or copy or forward the message to your users mailboxes.

Open up the Avaya IP Office Manager application and navigate to the system settings.

Select the SMTP tab and you are now ready to enter the settings.

You will need to know the IP address of your SMTP server. If you don't know this you may need to contact your Network Administrator.

You will also need to know the port number of the SMTP server. The default SMTP port is 25.

You can enter an email address that you want all emails from the IP Office system to come from.

If your SMTP server requires authentication you will need to click the checkbox "Server Requires Authentication" and enter a username and password of the account you need to use. You may want to create a specific account to use for this purpose and then you can enter that accounts email address in the "Email From Address" box.

  1. Is it necessary to reboot IP Office,if you set the SMTP server? When I attempted to do this, the prompt had Immediate selected, so I didn't proceed. Can't reboot during the day.

      Yes. Unfortunately changes to the SMTP configuration are not mergeable so the system has to be rebooted. Maybe schedule a reboot out of hours?

  4. what if you dont have a smtp server on your network?
    how can i add the one for my external postoffice,
    like at mail.domainname.com?
    i tried using the ip address that itmaps to and it doesnt work.
    any ideas?

  5. If you don't have an smtp server on your network you may be able to point the system at an external one. You need to make sure you get the SMTP IP address of the server and not the POP3 or IMAP address. You will certainly need to use a username and password. It's very difficult for me to give advice on this as I don't know your network setup. The other way of doing this would be to install an SMTP server on your network and use that to deliver the emails. There are plenty of freely available ones. The best thing would be to speak to your IT department.

  6. I am the IT manager for my company. This was working for a while then it stopped. I did a telnet smtp test from the Office Manager machine and it connected properly. The SMTP log on the server is not showing the switch even tried to connect. It should not have to authenticate, but I have tried it both ways (with and without). I verified the password. Ideas?

    1. I've been dealing with this issue as well. The voicemail to email will work for days and then stop. A restart will get it working again. I've seen others posting that they have this problem. I'm surprised Avaya has not addressed it.

    2. Do these devices have any internal logging? I have a customer saying that their voicemail occasionally get's "stuck" but all I see on the SMTP server is successful deliveries. I'd like to know what's happening with the messages that *don't* get sent.

  7. The fact that you had it working and then it stopped is interesting. Also it is strange that you are not seeing any connection attempt in the smtp logs.

    This would suggest that either the system isn't configured with the right IP address and port information, the event that sends an email (like new voicemail) isn't being triggered or something on the SMTP server is blocking the connection.

    I would have done the same as you by using telnet to manually connect to the SMTP server and check that the IP address info on the Avaya system is correct. Once I'd double checked that, I would check that the event is definitely being triggered... Check that a user has voicemail turned on and has a "Voicemail Email" address set and the option is set to either Copy, Forward or Alert. Then leave that person a voicemail and check that they actually get the voicemail message and see if they get the email. If they have the voicemail message but haven't received the email the problem would seem to lie with the smtp server. Check any firewall configuration on the smtp server. Have a look at connection control (are you only allowing access from certain IP addresses), Relay restrictions, Access control. Check any message size limits.

  8. Just stumbled across this blog today. Grateful I found this via a Google search!

    We just had three standalone (non-interconnected) Avaya IP Office 500v2 installations completed at our three separate locations over the past two weeks.

    It's been a bit of hit-and-miss with some settings but, thankfully, we've managed to get pretty much everything working so far--with the exception of new voicemail alerts via smtp email.

    I have the SMTP settings defined in the Manager and they're in the running configuration... and yet, I only receive system-specific alerts (Generic, Configuration, etc.) that I've selected--and not voicemail alert notifications for the two Users I've selected for this feature.

    (yes, I've specified my own email address, within the same system, for the send-to address for both User alerts, and enabled the Alert setting; we're only trying to perform this configuration at our main site, which also has a Voicemail Pro module)

    Quite bizarre; everything else seems to be OK. If the SMTP settings were wrong, why would the system-related alarms/alerts work, but the voicemail-related email alerts fail?

    We don't require smtp auth from the main location (our subnet is whitelisted for smtp use) and, again, non-vm-related SMTP emails seem to be working through the IP Office gear.

    Anything I'm missing? I would greatly appreciate *ANY* ideas at this point. The local telco and I are racking our brains over this.

    1. Hi - the issue can be resolved by going into the voice mail pro client. Click on Administration then preferences, then General.
      On the Open window click Email then the SMTP Sender tab and edit your setting there.

      As far as I can tell the IP office manager doesn't do anything.

      Thanks so much for your response!!! I *NEVER* would have found that setting on my own, I guarantee you that!

      If this really is where you define this part, then the SMTP settings in the IP Office Manager app must be related only to system-based alerts--but not voicemail-related ones--if you have a VM Pro module etc.

      We'll give this a try and I'll report back.

      Just applied the changes and made them live in the VMPro client, waited for things to settle, then tried leaving a vm at one of the extensions I've been trying to have generate email alerts. IT WORKED.

    Quick question, hopefully someone could help

    I have an IPOffice rel 8.1 500v1 system using Embedded Vmail, I am using Verizon services for email had it working on port 25 no problem for many years, Verizon is changing the IP address and making the port 465 now. I had entered the new address and new port number what I get in the error log is that "The normal SMTP server port is 25". In the help screen it shows that I could add anything in the range specified. Am I missing anything?

  12. Does anyone know IPOffice supporting cloud Office365 communication? So far the voicemail to email alerts is not working after updating various SMTP info like the cloud one, anonymous and on-prem smtp reply. I heard that IPOffice is not supporting TLS communication to the o365.

    1. Try these settings under the SMTP tab on the Avaya,

      Setting SMTP (outgoing)

      Server Name smtp.office365.com

      Port Number 587

      Encryption Method TLS

      In the case of the Avaya, it is STARTTLS for the encryption method.

      Check the the following boxes;

      1) Use STARTTLS
      2) Server Requires Authentication(remember, username is the email address)

      Do not check the follwoing boxes;

      1) "Use Challenge Response Authentication (CRAM-MD5)"

      Don't forget to save and reboot.

  13. We have email hosted on godaddy and we only have smtp server address not the smtp server ip address, is there a way to use voice mail alert using such a hosted emails using IP office manager.

  14. Does anyone know how to configure voicemail to email for an ISP smtp server? I have been trying to configure this feature to send to a customer's AOL account. They have embedded voicemail. When I ping their smtp server, I've gotten different IP addresses. I also use port 587 and chose both yes and no to authentication.

  20. Most of the world now uses some external mail hosting service like Google or Office365. Why can't the Avaya system use server names instead of or in addition to IP address for the SMTP?

    Firmware update maybe?
